1 Information We Collect

We collect the following types of information when you use the Collective Intelligence Portal:

• Name and email address -- provided during participant registration or administrator account creation
• Organizational role -- your title or role within your organization, used to contextualize your participation
• Submitted ideas and responses -- the content you contribute during idea generation and clarification phases
• Voting data -- your pairwise comparison votes used to build structural models of organizational priorities
• Browser fingerprint -- a limited technical identifier used solely for security purposes, such as preventing duplicate submissions and detecting unauthorized access

We do not collect financial information directly. Payment processing is handled securely by Stripe, Inc., and we do not store credit card numbers on our servers.

2 How We Use Your Information

Your information is used for the following purposes:

• Facilitate strategic planning workshops -- to enable idea submission, pairwise voting, and ISM structural analysis for your organization's engagement
• Generate ISM reports -- to produce flowcharts, metastructure diagrams, and executive summaries that synthesize your organization's collective input
• Improve our services -- to analyze aggregate, anonymized usage patterns and enhance the platform's functionality, usability, and performance
• Communicate with you -- to send engagement-related notifications, such as voting reminders or report availability

3 Data Storage

Your data is stored using Google Firebase and Google Cloud Platform infrastructure. Specifically:

• All data is stored on US-based servers operated by Google Cloud
• Data is encrypted in transit using TLS/SSL and encrypted at rest using AES-256 encryption
• Access to production data is restricted to authorized personnel only and protected by Firebase Authentication and Firestore Security Rules
• We perform regular reviews of our security configurations to maintain the integrity of your data

4 Data Sharing

We take your privacy seriously and maintain strict limits on data sharing:

• We never sell your personal information to third parties, data brokers, or advertisers
• Your submitted ideas, votes, and reports are shared only with your organization's designated administrators who manage the engagement
• Aggregated, anonymized data may be used in academic research or case studies, but only in a form that cannot identify individual participants
• We may disclose information if required to do so by law, regulation, or valid legal process

5 Data Retention

We retain your data according to the following guidelines:

• Your data is retained for the duration of your organization's engagement plus 12 months following its completion
• After the retention period, data is permanently deleted from our systems unless your organization requests an extension
• You may request deletion of your data at any time by contacting us at the email address listed below
• Anonymized, aggregate data that cannot identify individuals may be retained indefinitely for research and platform improvement

6 Cookies & Tracking

We use minimal cookies and tracking technologies:

• Firebase authentication tokens -- essential cookies used to maintain your login session and secure your access to the platform
• No third-party tracking -- we do not use Google Analytics, Facebook Pixel, or any other third-party tracking or advertising scripts
• No advertising cookies -- we do not serve ads and do not allow third-party advertisers to place cookies on our platform
• No cross-site tracking -- your activity on the Collective Intelligence Portal is not shared with or tracked by external websites

7 Your Rights

You have the following rights regarding your personal information:

• Right to access -- you may request a copy of the personal data we hold about you
• Right to correction -- you may request that we correct any inaccurate or incomplete personal data
• Right to deletion -- you may request that we delete your personal data from our systems
• Right to data portability -- where technically feasible, you may request your data in a structured, machine-readable format

8 Children's Privacy

The Collective Intelligence Portal is designed for organizational strategic planning and is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected personal information from a child under 13, we will take prompt steps to delete that information from our systems.
